Works with the CRM you already use
AI lead reactivation · a done-for-you service
The leads you already paid for, finally called back.
Every business has a list it stopped working: quotes that never closed, forms nobody followed up, numbers that went to voicemail once. We take that list, sort it by the consent each person gave, and work it for 30 days with AI calls, texts and emails in your name. Our AI caller books the people still interested while they’re on the phone, and anyone who texts back comes straight to you, so you can answer while they’re warm.
Hi Linda, it's Dave from Polar Air Heating & Cooling. We just tried calling you. You got in touch with us about an AC quote in March. Is it still on your list? Reply STOP to opt out
Yes actually. Never got around to it.
Can someone call me after 5?
The offer
We work every old lead in your CRM. You get the appointments.
AI calls
A natural AI voice calls every lead who gave permission, in your business's name. It says it's an AI, asks what happened, and books the people still interested.
Texts
A short text after a missed call and a follow-up a few days later. When someone texts back, their follow-ups stop and the reply comes straight to you by text and email.
Emails
A personal note, a seasonal check-in and a last "should we close your file?" Written in your voice, approved by you before anything goes out.
Guaranteed. Your number of booked appointments in 30 days, or every dollar of your campaign fee back.

The problem
Your pipeline leaks. Every single day.
1 of 5
- You fill it.Ads, clicks, quotes, calls. Every lead costs you money, and lands in your CRM ready to talk.
- Nobody calls back in time.Reach a lead within the hour and they're 7× more likely to qualify. Most get a call the next day, if at all.Harvard Business Review, 2011
- One call, then nothing.Only 14% of people pick up an unknown number. One missed call and the lead is quietly written off.Hiya, State of the Call 2026
- The quote goes out. Nobody chases it."Let me think about it" turns into months of silence. Your CRM fills with people who were ready, just not that day.
- We plug the holes and pump them back.Every lead you're allowed to contact hears from you again, and the ones still interested land on your calendar.
Your part
Here's everything you do. We handle the rest.
- 1
Book a free 30-minute audit
We count your old leads, check how they signed up, and tell you the number of appointments we'd guarantee.
- 2
Send your list and approve the messages
Export from any CRM or spreadsheet. Read the call script, texts and emails, and tell us what to change.

Answer replies and show up
When a lead texts back, the reply comes straight to you so you can answer while they’re warm. Each appointment lands on your calendar with a text and an email telling you who it is and what they asked about.
Cleaning the list, every call, text and email, a reminder the day before each appointment, and the weekly report are on us. If we miss the number, every dollar of your campaign fee comes back.
See the full 30-day planWhy they went quiet
Why AC and furnace quotes go cold. Most never said no.
Four of the most common reasons AC and furnace quotes stall. None of them is “not interested”, and every one can change.
- 01
They nursed the old system along.
A repair, a recharge or a new capacitor bought them time. The replacement estimate went in a drawer, and the system kept aging.
- 02
The heat wave ended.
The estimate was written in the hottest week of the year. Two mild weeks later, the urgency was gone, and so was the reply.
- 03
It was a big purchase they hadn’t planned for.
Replacing a system is rarely in anyone’s budget. Many wanted to wait for a tax refund or talk it over at home, and nobody followed up when that time came.
- 04
Three quotes, three different systems.
Different sizes, brands and efficiency ratings made the quotes hard to compare. Confused homeowners tend to do nothing.
Where the leads come from
Your best list is usually already in ServiceTitan, Housecall Pro or Jobber: open and unsold replacement estimates, where a tech has seen the equipment and written a number. We still check how each customer gave you their number before anyone gets an AI call.
- Unsold estimates in your field software
- Service calls on aging equipment
- Website and Google quote requests
- Maintenance-plan members
- Inbound calls and Local Services
- Second-opinion requests
What your leads hear
Calm, clear, and in your name.
Every call opens the same way: who’s calling, that it’s an AI, and that the call is recorded. Then one easy question.
The first two lines
Hi Linda, this is Ava, an AI assistant calling for Polar Air Heating & Cooling about the AC replacement estimate we gave you. This call is recorded.
Did you end up replacing the system, or is the old one still hanging in there?
- AI and recording disclosed before anything else
- No prices, discounts or deadlines, ever
- “No” is accepted the first time
- Two real times from your calendar
If they say
“We had it fixed. It’s running fine for now.”
AvaGood to hear it’s running. If it’d help, Dave can update the estimate so you have a plan ready before it becomes an emergency. Would Tuesday at 9 or Thursday at 1 work, or should I leave it for now?
If they say
“The other company quoted a completely different system.”
AvaThat happens a lot, and it’s confusing. Dave can walk through the differences with you so you’re comparing like for like. Would Wednesday at 4 or Saturday at 10 work?
If they say
“We’re going to wait until it actually dies.”
AvaThat’s a fair choice, and plenty of people make it. I’ll leave it there. If anything changes, just reply to our text and we’ll get you on the schedule.

Good timing helps. Fake urgency doesn’t.
Old leads respond better when there’s a real reason to hear from you. For HVAC companies, these are the ones worth using, and only when they’re true for that person.
Before the first hot week
In late spring, people remember the upstairs that never cooled down. A replacement planned in May beats one forced in July.
Before heating season
Early fall, ahead of the first cold night, for furnace and heat pump estimates.
When your crews have room
Spring and fall are usually slower for service. Booking replacements then fills your shoulder season and lets homeowners choose the timing instead of an emergency choosing it for them.
Never used: invented deadlines, “prices going up”, fake scarcity, or discounts you didn’t approve.
HVAC questions
The specifics, answered.
Can you work my unsold estimates from ServiceTitan or Housecall Pro?
Yes, and they’re usually the best leads you have. Export open or unsold estimates with the customer’s name, phone, email, the estimate date and what was quoted. We treat them as their own group with their own script, separate from people who only filled in a web form.
Does the AI troubleshoot or quote over the phone?
No. If someone describes a symptom, the AI notes it for your tech and books the visit. It never diagnoses, recommends equipment or gives a price.
What about rebates and tax credits?
The AI doesn’t mention them. Federal, state and utility incentives have changed a lot in recent years and depend on the equipment and the household, so that conversation belongs at the appointment, with current numbers.
Should my maintenance-plan members be on the list?
That’s your call. Some owners want their own team to handle members personally. If you include them, they get their own script that acknowledges they’re already customers, and the same consent check applies.
