Every client gets a private dashboard like this one. The figures here are an example; yours depend on your list.

Works with the CRM you already use

AI lead reactivation · a done-for-you service

The leads you already paid for, finally called back.

Every business has a list it stopped working: quotes that never closed, forms nobody followed up, numbers that went to voicemail once. We take that list, sort it by the consent each person gave, and work it for 30 days with AI calls, texts and emails in your name. Our AI caller books the people still interested while they’re on the phone, and anyone who texts back comes straight to you, so you can answer while they’re warm.

Hi Jessica, it's Nina from Glow Aesthetics. We just tried calling you. You got in touch with us about a consultation in March. Is it still on your list? Reply STOP to opt out

Yes actually. Never got around to it.

Can someone call me after 5?

Jessica Ellis repliedSent to Nina by text and email · follow-ups stopped

The offer

We work every old lead in your CRM. You get the appointments.

AI calls

A natural AI voice calls every lead who gave permission, in your business's name. It says it's an AI, asks what happened, and books the people still interested.

Texts

A short text after a missed call and a follow-up a few days later. When someone texts back, their follow-ups stop and the reply comes straight to you by text and email.

Emails

A personal note, a seasonal check-in and a last "should we close your file?" Written in your voice, approved by you before anything goes out.

The problem

Your pipeline leaks. Every single day.

1 of 5

  1. You fill it.
Ads, clicks, quotes, calls. Every lead costs you money, and lands in your CRM ready to talk.
  2. Nobody calls back in time.
Reach a lead within the hour and they're 7× more likely to qualify. Most get a call the next day, if at all.Harvard Business Review, 2011
  3. One call, then nothing.
Only 14% of people pick up an unknown number. One missed call and the lead is quietly written off.Hiya, State of the Call 2026
  4. The quote goes out. Nobody chases it.
"Let me think about it" turns into months of silence. Your CRM fills with people who were ready, just not that day.
  5. We plug the holes and pump them back.
Every lead you're allowed to contact hears from you again, and the ones still interested land on your calendar.

Your part

Here's everything you do. We handle the rest.

  1. 1

    Book a free 30-minute audit

We count your old leads, check how they signed up, and tell you the number of appointments we'd guarantee.

  2. 2

Send your list and approve the messages

Export from any CRM or spreadsheet. Read the call script, texts and emails, and tell us what to change.

  3. 3

    Answer replies and show up

When a lead texts back, the reply comes straight to you so you can answer while they’re warm. Each appointment lands on your calendar with a text and an email telling you who it is and what they asked about.

Cleaning the list, every call, text and email, a reminder the day before each appointment, and the weekly report are on us. If we miss the number, every dollar of your campaign fee comes back.

Why they went quiet

Why consult requests go cold. Most never said no.

Four of the most common reasons consult requests stall. None of them is “not interested”, and every one can change.

  1. 01

They were nervous about the treatment.

First-time injectables or lasers raise real questions: will it look natural, will it hurt, how long is the downtime. Some people step back to think and never step forward.

  2. 02

They were waiting for a special.

Plenty of clients have learned to wait for promotions. When one didn’t come, neither did they.

  3. 03

    The event came and went.

They wanted results before a wedding or summer, missed the window, and assumed they’d missed their chance.

  4. 04

    The follow-up came too late.

Social lead ads arrive at night and on weekends. A reply the next afternoon often finds someone who’s already moved on.

Where the leads come from

Social lead forms only cover automated calls if someone added that wording. Many med spas never did, which changes how those leads can be contacted.

  • Instagram and Facebook lead ads
  • Website consult forms
  • Unfinished online bookings
  • Google search and reviews
  • Events and open houses
  • Past clients due for maintenance

What your leads hear

Calm, clear, and in your name.

Every call opens the same way: who’s calling, that it’s an AI, and that the call is recorded. Then one easy question.

The first two lines

Ava · AI

Hi Jessica, this is Ava, an AI assistant calling for Glow Aesthetics about the consultation you asked about. This call is recorded.

Is that still something you’re interested in?

  • AI and recording disclosed before anything else
  • No prices, discounts or deadlines, ever
  • “No” is accepted the first time
  • Two real times from your calendar

If they say

“I’m nervous about how it’ll look.”

AvaThat’s really common, and it’s exactly what the consultation is for. Nina can talk through what to expect, with no commitment. Would Tuesday at 12:30 or Thursday at 5 work?

If they say

“Are you running any specials right now?”

AvaI can’t speak to pricing or offers, but Nina can go over your options at the consultation. Would Tuesday at 12:30 or Thursday at 5 work?

If they say

“I ended up going somewhere else.”

AvaThanks for letting me know, I hope it went well. I’ll close your file.

Where it works best

Good timing helps. Fake urgency doesn’t.

Old leads respond better when there’s a real reason to hear from you. For med spas, these are the ones worth using, and only when they’re true for that person.

  • Well before events and summer

Many treatments take time, or a series of visits, to show results. A check-in a few months ahead of the season or the event is useful timing.

  • Fall and winter for lasers

Many providers schedule laser and resurfacing treatments in the cooler months, when there’s less sun exposure afterwards.

  • When maintenance is due

For past clients, treatments that wear off on a schedule give an honest reason to check in.

Never used: invented deadlines, “prices going up”, fake scarcity, or discounts you didn’t approve.

Med spa questions

The specifics, answered.

Is our client list covered by HIPAA?

It depends on how your practice is set up. HIPAA covers providers who conduct certain transactions electronically, such as billing a health plan, and some cash-pay med spas don’t; state health-privacy laws can apply either way. Ask whoever handles compliance for you. Either way, treat the list as health information: only the fields needed to reach people, no treatment details in voicemails or texts, and a business associate agreement where HIPAA applies.

Will the AI answer medical questions?

No. Questions about candidacy, side effects, pregnancy or medications go to your provider. The AI says so plainly and books the consultation.

Can it rebook past clients who are due?

Yes, as a separate group with its own script. Past clients who know your team tend to be the warmest part of the list.

What shows up in texts and voicemails?

Nothing specific. Messages say “the consultation you asked about”, not the treatment or the area. Anyone can glance at a phone screen.
